Privacy Notice

How LinkMenuz handles information belonging to restaurant owners, staff and guests who scan, browse or order.

1. Who is responsible

LinkMenuz is operated by Mwesigwa Benjamin Solomon, Nansana Kyebando, Uganda. Email privacy questions or requests to benjaminsolomon350@gmail.com.

For restaurant account and service data, LinkMenuz determines why and how the information is used. For guest order details processed for a restaurant, the restaurant also determines how it uses that information to fulfil the order and serve the guest.

2. Information we collect

  • Account details such as name, email, restaurant name, location, login and plan information.
  • Menu, branding, venue, QR-code, availability and promotion information.
  • Guest order details such as selected items, notes, table or room, order status and tracking token.
  • For delivery: name, phone number, address, order note and WhatsApp message content prepared on the guest’s device.
  • Payment-support details such as plan requested, amount, transaction reference and limited evidence supplied voluntarily.
  • Basic technical information including browser, device, logs, IP address, security events and local-storage identifiers.
  • Messages and support correspondence sent to us.

3. How we use information

  • Create accounts, publish menus and operate QR codes.
  • Transmit, display and track restaurant orders.
  • Arrange manual plan payments, verify transactions and activate subscriptions.
  • Provide support, prevent fraud, protect accounts and diagnose faults.
  • Improve the service and understand aggregated usage.
  • Meet legal, tax, accounting or regulatory obligations and enforce our terms.

We use information where necessary to perform a contract, take requested steps before a contract, pursue legitimate business and security interests, comply with law, or where consent is the appropriate basis.

4. WhatsApp delivery orders

When a guest chooses delivery, LinkMenuz prepares an order message and opens WhatsApp. The guest decides whether to send it. Once sent, the information is handled by the restaurant and WhatsApp under their own practices. Guests should not put unnecessary sensitive information in order notes.

5. Who receives information

We may share only what is reasonably needed with the restaurant receiving an order, authorised restaurant staff, hosting and database providers, communications and support providers, professional advisers, payment providers involved in a transaction, and public authorities where lawfully required. We do not sell personal information.

6. International processing

Some technology vendors may store or access information outside Uganda. Vendor processing locations are still being verified. Where cross-border processing occurs, we will take reasonable steps required by applicable law and can provide current vendor information on request.

7. Cookies and device storage

LinkMenuz may use necessary cookies and browser storage to keep users signed in, protect sessions, remember menu or cart choices, prevent duplicate orders and show order history on the same device. Clearing browser data may remove these local records.

8. Retention

Our default operational retention period is one month after information is no longer needed for the purpose collected. Active account and menu information is kept while the account remains active, then ordinarily removed or anonymised within one month after closure.

  • Guest order and support records: ordinarily up to one month after completion or resolution.
  • Payment evidence: ordinarily one month after verification or resolution.
  • Minimum transaction, tax, accounting, fraud, dispute or security records: longer where required or reasonably necessary under law.
  • Backups: deleted or overwritten on their normal protected cycle.

We may retain information longer where a legal hold, unresolved dispute, security investigation or legal duty applies.

9. Security

We use reasonable technical and organisational safeguards such as managed authentication, access controls, encrypted connections and limited staff access. No online service can guarantee absolute security. Restaurant owners must use strong passwords and control staff access.

10. Your rights

Subject to Ugandan law, you may ask to access, correct, update, delete or restrict certain personal information, object to some processing, withdraw consent where processing relies on consent, or complain to the Personal Data Protection Office. We may need to verify identity and may retain information where law permits or requires it.

11. Children

Restaurant accounts are not intended for people under 18. Guests should not submit a child’s information unless an adult has authority and it is reasonably necessary for the order.

12. Updates and contact

We may update this notice as the service or law changes. The current version and effective date will be shown here. For a privacy request, email benjaminsolomon350@gmail.com with enough information for us to identify the relevant account or order.
